Supervisor: Head of Donor Engagement & Marketing Lead

Summary

The Donor Communications Coordinator is a key member of the donor engagement and marketing team, dedicated to keeping donors informed about the long-term impact of their contributions. The role involves gathering updates from campaign creators, preparing and sending impact updates to donors via Zoho, and sharing stories with the marketing team for wider use in social media, blogs, and video content. The coordinator also supports data and analytics reporting and contributes to strategy planning that enhances donor engagement and retention.

Responsibilities

Donor Engagement & Relationship Building

  • Build and maintain strong relationships with campaign creators.
  • Source and request campaign updates, images, and other content.
  • Prepare and format donor updates for distribution through Zoho.

Content Creation & Collaboration

  • Create engaging email updates, ensuring alignment with BackaBuddy’s brand and voice.
  • Collaborate with the Marketing and Donor Engagement team to repurpose impact stories for social media and blogs.
  • Use Canva to design simple, visually appealing mailers and graphics.
  • Participate in strategy sessions to improve donor retention and engagement.

Data & Reporting

  • Maintain accurate donor and campaign data in Zoho, including demographics and contact details.
  • Extract and analyse data from Zoho Campaigns and GA4 to produce actionable insights.
  • Produce reports on donor engagement and campaign performance.
  • Conduct regular database clean-up and ensure content accuracy.

Process & Email Campaign Management

  • Create and update Zoho templates for campaign updates.
  • Integrate content, check grammar/structure (Grammarly/ChatGPT), and highlight key messages.
  • Add campaign links, images, social media links, and donor lists to emails.
  • Generate word clouds from donor names to include in content.
  • Test all emails to ensure functionality and accuracy.
  • Track and report on email send volumes and engagement daily.

Requirements

Education

  • Bachelor’s degree in Communications, Marketing, Journalism, Public Relations, Nonprofit Management, or related field (preferred).
  • Diploma or certification in digital marketing, donor relations, or CRM software (e.g., Zoho, Salesforce) is an advantage.

Experience

  • 2–3 years in donor communications, fundraising, marketing, or customer engagement.
  • Experience in the nonprofit, crowdfunding, or donor relations sector is highly preferred.
  • Strong background in email marketing and CRM systems (Zoho experience preferred).
  • Demonstrated success in content creation (emails, blogs, social posts).
  • Familiarity with data analysis and donor engagement reporting.
  • Experience with email automation and workflow optimisation.

  • Technical Tools: Proficiency in Zoho CRM, GA4, Grammarly, Canva, and basic automation workflows.
